Child safeguarding
Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.
Role purpose
The role is supportive of the Regional office HR Management, personnel administration and recruitment in compliance with the Global and Regional policies and procedures.
Scope of role
Reports to: HR Manager
Key areas of accountability :
HR Operations/Onboarding
- Assist in the administrative management of personnel files
- Supporting the contracting and Onboarding processes,
- Help in the consolidation of monthly or quarterly HR Reports, and statements
- Archiving and up date of personnel files (hard and soft copies)
- Drafting and follow up of work Certificates and administrative letters/mails (Bank, Labor inspection, Health Insurance,CSS,IPRES …)
- Consolidation and follow up of annual leaves planning
- HR Monthly Updates of headcount and organograms
- Schedule, prioritize, attend and follow up on annual meetings and appointments
- Organize procurement and logistics for HR events , meetings, trainings, including welcoming visitors or participants
- Oversee HR Office environment and liaising with the Logistic and Finance team to organize procurement of equipment and supplies
- Manage HR office furniture and equipment’s
- Assist with HR promotional activity including responding to information’s request
- Assist translation and consolidation of documents
Administrative Facilitation
- Perform a variety of standard administrative, accounting, secretarial and reception duties ensuring high quality and accuracy of work
- Preparation of Request for payments for various invoices
- Following up with finance to ensure the invoices are settled
Systems and processes
- Participates in the implementation of training plans
- Support with the administration of staff and courses on LMS
- Support with online statements
- Support with the recruitment process for the RO teams by liaising with candidates, setting up interviews and tests, planning agendas, following through with references, vetting and other administrative checks through Taleo etc.
- Maintain candidate database, liaising with universities and professional networks
- Archiving and updating recruitment files
- Follow up of providers payment on Pro Save

Support with advertising in TALEO
Other
- Coordinate the travels of the HR Team (consolidation of TAR)
Supporting events and initiatives of the department including welcoming visitors, organising send off for departing employee and internal communication
Be ready to perform other task of the department or ensure back of the RO HR team members up when required.

Qualifications
At least Bachelor in Management of Human Resources Management
Experience and skills
Desirable
- Have at least 1 year of relevant working experience
- Experience in NGO sector will be an advantage
Suitable
- Basic knowledge of the Senegalese labour code or equivalent
- Excellent planning capacities,
- Prioritization skills
- Good knowledge of computer skills (Microsoft Office Environment and Systems as Sage Paie, Pro Save and Sharepoint )
- Good communication skills (written and oral)
- Good knowledge of English and French (Written and spoken)
