Responsibilities
- Organizing Electronic Files: The primary responsibility of the intern will be to organize electronic documents and files related to financial transactions, invoices, receipts, reports, and other relevant financial data.
- Implementing a Structured Filing System: Collaborate with the finance team to establish a systematic filing process, ensuring that all electronic documents are categorized, labeled, and stored in a secure and easily accessible manner.
- Maintaining Data Integrity: Verify the accuracy and completeness of electronic files, ensuring that documents are properly named and follow the established filing structure.
- Scanning and Digitizing Paper Documents: Work closely with the finance department to convert physical documents into electronic files, ensuring seamless integration into the digital filing system.
- Assisting in Data Entry: Support the finance team by entering relevant financial data into the electronic system, maintaining consistency and accuracy throughout the process.
- Archiving and Retrieval: Ensure timely archiving of outdated files and the ability to retrieve historical financial data when required.
- Confidentiality and Security: Maintain strict confidentiality of sensitive financial information and adhere to security protocols to protect electronic files from unauthorized access.
- Process Improvement: Identify opportunities to enhance the efficiency and effectiveness of electronic filing processes, and propose innovative solutions to optimize workflow.
- Collaboration and Communication: Collaborate with various stakeholders within the finance department, providing regular updates on filing status and addressing any concerns or inquiries related to electronic filing.
Qualifications
- Currently pursuing or recently graduated with a degree in finance, accounting, business administration, or a related field.
- Strong organizational skills with a keen eye for detail.
- Proficient in using electronic document management systems and office software
- Familiarity with basic finance and accounting principles is a plus.
- Excellent communication and interpersonal skills, able to work collaboratively within a team environment.
- Ability to handle confidential information with the utmost discretion.
- Self-motivated and capable of working independently under minimal supervision.
- Flexible and adaptable to changing priorities and deadlines.
